Getting started

Your first 10 minutesBuying Signals

Set up once and your call list, email and picks are ranked for your business.

  1. Confirm your seller profile. Give setup your website and the AI drafts what you offer and who you serve. Fix anything that’s off and save. This is what your picks are ranked against.

  2. Pick your territory. In Settings, choose your states and counties, or leave counties empty for the whole state.

  3. Choose what you sell and which signals you want. Citations and staffing signals are matched to what you sell. New owners, managers and administrators always show.

  4. Add the buildings you already serve to My accounts so you hear when one of them changes.

  5. Connect your CRM, Slack or Teams under Integrations if you want new signals to land there by themselves.

  6. Make your first call. Open Signals, start at the top of To call and use “Draft email” for an opener.

The dashboard’s “Do next” list shows the next setup step until you’re done.

Restart setup or replay the tour

Walk through setup again, or take the one-minute tour of where everything is.

  1. Use Restart setup at the top of this page, on the Profile tab in Settings, or in Account & profile.

  2. Subscribers go back through website → seller profile → first picks, starting from what they saved. Free accounts see the welcome screen again.

  3. Nothing is deleted. Your territory, accounts, lists, notes and integrations stay as they are.

  4. Use Take the tour here or in your account menu to replay the tour any time. Press Esc to close it.

Signals and your call list

Work your call listBuying Signals

One row per building that has a reason to buy, ranked for you.

  1. To call has buildings with new signals nobody on your account has acted on. Numbered rows are ranked by the AI against your seller profile, each with a one-line reason it fits.

  2. Call the building’s main line as listed with the state, or click Draft email for a suggested contact, an email and a phone opener. Nothing is sent from ClearLTC: the email opens in your own mail.

  3. Log what happened: Contacted, Meeting set, Won or Not a fit. Set a follow-up date and the building moves to Follow-ups.

  4. Working holds conversations in progress; Done holds won and closed buildings.

  5. “Not a fit” moves the building to Done and teaches the ranking what to skip.

The header tiles on Signals jump straight to each tab.

When a week is quiet, To call reaches back to earlier weeks so there’s always someone to call.

What each signal means

Every signal comes from a public record and gives a building a reason to buy.

  1. Ownership change: a new owner on the state license. New owners review vendors.

  2. New management and New administrator: a new operator or administrator, usually with new priorities and new relationships.

  3. Owners/officers changed: the people or entities listed on the license changed.

  4. New license: a newly licensed building that needs everything.

  5. State action: a fine, sanction or other enforcement action from the state.

  6. Inspection citations: nursing-home deficiencies from CMS, each matched to the kind of vendor that fixes it.

  7. Staffing signal: from federal payroll data, such as a large share of nursing hours coming from agency staff.

  8. In the news: a local news story matched to a specific building.

What each state publishes differs, so not every signal type exists in every state. See Data sources.

Explore every signalBuying Signals

Everything in your territory, not just today’s call list.

  1. Open Explore from the top of Signals.

  2. Use Where to look beyond your territory: Everywhere, any mix of states, or counties (type a county’s name to find it). It applies to Every signal, the news and the market view.

  3. Every signal lists every change there, 50 to a page (pick 25, 50 or 100). Search by building, city, operator, administrator or citation, sort by most important or newest, and filter by date range and signal type.

  4. Click CSV for your CRM to download what you’re looking at, every page, in a CRM-ready format.

  5. Market view shows how activity is trending wherever you’re looking.

Ask for a listBuying Signals

Describe the buildings you want in plain English and get the list.

  1. In Explore, choose Ask for a list, or type into the Ask AI box at the top of Signals.

  2. Describe what you want, for example “assisted living facilities in Lee and Collier with a new owner this year” or “nursing homes with a medication citation”.

  3. The AI turns your request into filters, and every row comes from our records. Check the summary of what it filtered on.

  4. Save the list and new matches are included in your signals email. Download it as a CSV any time.

An assistant for your territory, your call list and any building.

  1. Open it from Ask AI in the header or the box at the top of Signals.

  2. Ask who to call first, what’s going on at a building, who runs an operator, or for a list.

  3. On a facility or operator page it already knows which one you mean.

Tip:

The AI works on top of the public record; it doesn’t invent it. Contacts it finds on the web are marked unverified until you check them.

Watch the buildings you serveBuying Signals

Hear when a customer changes owners, management or administrator.

  1. Open My accounts and paste your customer list, one per line: facility name and city, or state license number.

  2. Confirm the matches. Where there’s more than one possible building, pick the right one.

  3. You’ll get an alert when one changes owners, management or administrator, or gets a state action.

  4. Choose how often alerts arrive (as it happens, daily, weekly or off) and which changes send one in Settings → Alerts.

  1. Find a building with the search box in the header, the directory or the map.

  2. Each page shows the owner and operator, the administrator where the state lists one, inspections, state actions and history.

  3. Subscribers also get Prep this call: who to call, what the building is an opening for, an opener and a pre-call brief.

  4. Keep notes on the building and add it to My accounts from the same page.

  1. The directory lists every facility we cover. Search by name and filter by county, type, beds, ratings and more.

  2. The map shows the same facilities by location, which is handy for planning a territory or a route.

  3. Click any facility to open its page.

Your signals emailBuying Signals

The buildings that match your settings, on your schedule, with a CSV attached.

  1. In Settings, pick once a week (any day and hour, Eastern time) or every weekday morning. The default is Mondays at 7 AM ET.

  2. Under What’s in your email, keep the sections you read (top picks, callbacks, saved lists, news and more), choose how many signals to list, whether to attach the CSV, and what happens in a quiet week. Preview this email shows it before you save.

  3. Each email covers what’s new since the last one and leads with your top picks. On weekdays, no email goes out when nothing is new.

  4. Add up to 5 teammates to receive it too.

  5. Turn on the monthly recap for what changed, your accounts and your wins.

  6. Use Send me a preview now to see it immediately, or uncheck “Send my signals email” to pause it. The portal keeps working while it’s paused.

Connect your CRM, Slack or TeamsBuying Signals

Send new signals where your team already works.

  1. HubSpot, Salesforce, Zoho CRM and Pipedrive connect directly. Buildings, signals and administrators land as companies, accounts or organizations with notes or tasks, and without duplicates.

  2. Send a test first. Then Edit what’s sent: how often (every hour, or a daily or weekly digest), which signals, counties and building types, and what each message includes. Preview next send shows it before it goes.

  3. CRMs can add new buildings or only update the ones you already have, create tasks, attach a drafted email and map values into your own fields.

  4. Slack and Microsoft Teams get a post for each batch of new signals.

  5. Google Sheets, Monday, Airtable and other tools connect through Zapier or Make with a signed webhook.

  6. Each integration keeps a history of what was sent.

Account and billing

  1. Change your name, company, email or password in Account & profile.

  2. See your plan, update your payment method, download invoices or cancel in Billing.

  3. Cancelling keeps access until the end of the period you’ve paid for.

The data

Where does the data come from?

Public state licensing records (in Florida, the Agency for Health Care Administration; elsewhere, each state’s licensing agency) and federal CMS nursing home data. We compile and clean them, and match each record to the facility’s administrator and phone where the state lists them. Data sources has the details.

Which states do you cover?

Every state we cover is listed on the coverage section of our home page. Each state publishes different records: some name the owner on every license, so we catch sales; others only list the buildings, so we catch new licenses and closures. If your state isn’t live yet, join its waitlist there.

How far back does the history go?

Twelve months for everything a record dates itself: nursing home inspections, staffing, federal fines, and in most states new licenses and state fines. Changes we only see by comparing a state’s files week to week (new owners, administrators, management companies) start the day we began tracking that state, except in Florida, where state records date ownership and management changes. Each state’s card in the coverage section lists exactly what goes back how far.

How current is it?

We re-check state and federal records on a recurring cycle and show what’s new on Signals and in your email. Timing depends on when each state and CMS publish, and nursing home citation data typically runs behind real time. Every row shows its event date so you can see how fresh it is.

Something looks wrong. How do I report it?

Email support@clearltc.com with the facility name or link and what looks off. We check it against the source record and fix what’s ours to fix. If the state’s record is wrong, we’ll tell you.

What are ClearLTC grades?

Our own summaries of published evidence, to help compare facilities. They are separate from official CMS ratings, and facilities cannot pay to change them. Methodology explains how they work.

Signals and the AI

What counts as a signal?

A public record that gives a building a reason to buy: ownership, management and administrator changes, new licenses and state actions from state records; nursing-home inspection citations from CMS, each matched to the kind of vendor that fixes it; staffing signals from federal payroll data; and local news about a specific building. How does the AI rank my call list?

It compares each building’s signals against your seller profile (what you offer, who you serve, the size of building you want) and explains in one line why each fits. Marking buildings “Not a fit” teaches it what to skip. Keep your profile current in Settings.

Can I trust what the AI writes?

The AI works on top of the public record; it doesn’t invent the record. Rows in your lists always come from our data. Drafted emails and briefs are suggestions for you to check before you use them. Contacts it finds on the web are kept only when named on a page it links to, and marked unverified until you check them. Contacts from state and federal filings are marked as public record.

Why is my call list empty or short?

Your territory may be narrow or it may be a quiet week. Try widening your counties or signal types in Settings, or check Explore for everything in your territory. When nothing new comes in, To call reaches back to earlier weeks.

Does “Draft email” send anything?

No. It opens the email in your own mail (Gmail, Outlook or your default mail app) for you to review and send. Nothing is sent from ClearLTC.

Email and alerts

How do I change when my email arrives?

In Settings, under “When should we email you?”, pick once a week at any day and hour, or every weekday morning. Times are Eastern.

I’m not getting my signals email.

Check your spam or promotions folder and add support@clearltc.com to your contacts. Make sure your signals email is on in Automations. Use Send me a preview now there to test delivery. Still nothing? Email support@clearltc.com.

Can my teammates get the email too?

Yes. Add up to 5 teammate addresses in Settings. Teammates come with a subscription, not the free week.

How do alerts on My accounts work?

When a building on your My accounts list changes owners, management or administrator, or gets a state action, we email you. Choose as it happens, a daily or weekly digest, or off, and which changes send one, in Settings → Alerts.

How do I stop the emails?

Pause it in Automations; your portal access stays. Every email also has an unsubscribe link.

Can I change what’s in my email?

Yes. In Settings, under “What’s in your email”, turn sections on or off, list 25, 10 or no signals, drop the CSV, and choose whether a quiet week sends the last 30 days or nothing. Preview it before you save.

Where can I see everything that’s scheduled?

Automations lists every email, alert, saved list and connected tool: what each sends, where, and when it runs next. Pause or resume any of them there.

Plans, billing and your account

What’s the difference between a free account and Buying Signals?

A free account can look up any facility we cover in the directory and on the map, and see a preview of recent signals with contacts hidden. Buying Signals adds who to call at each building, your own territory, AI-ranked picks, Ask AI, lists, alerts on your accounts, integrations and an email on your schedule.

How much is it, and is there a contract?

No contract. $99 a month, cancel anytime, or $990 a year (two months free).

What does the free week include?

Seven days of Buying Signals for up to 3 counties in one state, the last 90 days of changes, and up to 25 accounts. Subscribing opens every state we cover, 12 months of history and teammates.

How do I cancel?

In Billing, open “Payment method, invoices & cancellation”. You keep access until the end of the period you’ve paid for.

Where are my invoices?

In Billing, under “Payment method, invoices & cancellation”.

I can’t sign in.

Choose “Email a link” on the sign-in page for a one-click login link, or reset your password. Links expire, so use the newest one. If the email doesn’t arrive, check spam, then contact support.

How do I change my email or password, or delete my account?

All three are in Account & profile. Deleting your account is permanent; cancel any subscription in Billing first.
